the Claudia proposals looks reasonable.
As far I am concerned you can go on.
Thank you for the work you are doing in the common interest.
All my best.

Dear all,
Please see below the quote from the accountant to take over the responsibility for the Freehold.
I will shortly be sending for your review the proposed engagement letter for the law firm that would be giving us the advice we need.
Please note that the same requirements around the KYC for the directors will also be needed, so we can use the same paperwork for both processes.
If you could please revert at your earliest convenience, that would be great.
Kind regards
Flavio Cury

Dear Flavio and Anna
Hope you are well.
I have now had a chance to look through the various emails that you have sent to me.
If you would like me to be your accountant, I would like to draw your attention to the fact that I have a minimum fee to prepare a set of Limited Company Accounts and Corporation Tax Return (usually £1,000 which I was prepared to reduce to £900 as a favour to Yvonne when we originally spoke regarding the service charge accounts). Therefore, before we continue further, I would like to set out my fees for your approval, especially as it looks like the old accountant used to only charge £360. There is too much work involved for me to be able to match his fees.
We have until the end of October (extended from September) to file the Dec 2017 accounts. The December 2017 accounts have already been prepared by the old accountant. Therefore, I suggest that we file these as they currently stand, and then file amended accounts once the final figures are ready.
My fee quote will be:
Emailing Companies House to request for an extension (no charge)
Filing original accounts as they currently stand £900 (to include setup, admin and to also recreate and file small company accounts with Companies House, and recreate the full accounts with HMRC and Company Tax return CT600 with HMRC) all by the end of October 2018
Filing revised accounts, a further £500 (to file amended company accounts and Corporation tax return as above, and agreeing the figures etc)
Going forwards I envisage my annual fee to be around £900 pa, subject to inflationary increases
If there is any additional adhoc work then I would charge additional fees on an hourly basis. Rest assured that this would be agreed with you in advance of the work being carried out.
I presume that:
the managing agents will be preparing all Companies House forms (eg Confirmation statements, appointing new directors etc)
the managing agents will be maintaining the bank account and book keeping for the Freehold.
the porters salary and PAYE obligations are being met by a payroll bureau..
If any other assumptions above are incorrect, please let me know, as I may need to revise my quote if you need me to provide additional services.
If you would like me to act as the Accountant, please confirm back, and I can send you my letter of engagement, and also advise HMRC that I will be acting for you etc. If you would like me to go ahead, I will need certified copies for all of the directors of their:
Personal bank statement showing their address (less than 3 months old)
Passport or driving licence (with Photo ID)
Utility bill (to prove their address – also less than 3 months old)
Kind Regards
