Hi All,

Before I "sound off", thank you for your excellent thoughts on the status quo.  Yes we must resolve this - but it would be hasty to embark on anything hastily for three months and then have to do it all over again. 

1	What is John Shervill's firm called - or is it his own? Presumably it is properly insured.
2	Have we taken out references by other users to see how efficient.
3	Have they given a schedule of their charges or is this what you reckon would be fair?  Am thinking of yesterday's fiasco - caused by the replacement of the Chubb box.  Is a retainer necessary?
4	Under what circumstances could they give advice over the phone if a resident calls (am thinking here of personal call outs such as Mrs. Kaye's fuse box - she would still need someone to trip the switch)  If it is a block matter also can't envisage circumstances for an over the phone advice being adequate.
5	Logging of calls - excellent as we must differentiate between block and personal matters
6	Anna and I were thinking of speaking to Linton Services - firstly, to clarify matters regarding all our service providers and secondly, to ascertain if they have such an additional service, where they would have all the information regarding our block at their fingertips and be available out of hours.
7	Eddie & Aziz know to contact Westbourne and have done today.  The issue is that neither Chubb nor Westbourne have not resolved the problem - nor did WB19 get back to me after three messages.  Though the blower is off, there is a howling gale coming up the vent pipe, right outside my front door - don't understand this - but that's another matter.  In the meantime if there is a fire, the fans will not function.
8	I agree entirely about this management not being sustainable - there is little management - but we do seem to have acquired cracking good cleaners and gardeners out of them!  This is a matter I wanted to raise under AOB at the meeting and I have a little more homework I would like to do on this before stating my thoughts.
9	Training is highly essential for the day jobs.  Westbourne have been managing for close on a year and they still know less that I do and I'm only a temporary resident.

Dear All,

Having spoken to Anna earlier today, and in light of yesterday’s events, I cannot stress enough the urgency with which we need to put in place an out-of-hours service.

Unless anyone has an alternative suggestion which we could implement with immediate effect, then I would strongly advise we employ John Shervil’s firm, who would available to start straight away. We could draft a contract for 3 months and then review this at a later date. 

Peter and I have been discussing the details and we feel we could offer the following:

£100 per month retainer (to answer the phone and give advice over the phone whenever possible)
£100 per call-our for the first 2 hours
£25 per hour thereafter

All calls and call-outs to be logged and reported so that we can monitor events and ensure they are justified. 

On a slight side note, but equally requiring urgent attention, we cannot continue with the current set-up, whereby, during normal hours, neither the porters nor the managing agents are able to deal with abnormal situations and emergencies. As directors of the Management Company, it is our responsibility to ensure the building is running efficiently at all times; it is not for us to pull up our sleeves and do it ourselves.

Should we make it clear to Eddy and Aziz that in the event of any issue they must contact Westbourne immediately, and continue to chase Westbourne until the problem is resolved?

Furthermore, as it stands we, the board, are currently directly managing the porters, cleaners, gardeners, maintenance, refurbishment and upkeep of the building. We should not be managing these directly, but rather overlooking that those we employ to manage the building do so accordingly.
It is not sustainable to continue as we are.
