What they wrote to you is correct, this is the procedure where you appoint them as your agents to act on your behalf with HMRC.

Dear Mr Phelan, 

As your agent, we must have formal authorisation to deal with HMRC on your behalf in respect to your Employer's PAYE scheme. Therefore, we have today submitted a request to HMRC regarding this. When the authorisation request has been processed by HMRC, they will send a letter to you directly in the post, which will contain the authorisation code. This should arrive with you in 7 to 14 working days. 

Once you have receive this letter containing the code, please use the link below to submit this code to us online. Using this online link to send the code is our preferred method, and this will be adequate for our purpose. We will acknowledge receipt of this code once received and actioned. 

You will need your client reference number (in the subject line of this email), the name of the employer and the authorisation code:

N.B. The letter will also show the date by which the code must be entered, as it will expire approximately 30 days after the date of issue, so it is important to send this to us as soon as you receive it. 

Please note that the above process will not delay or affect the set up and production of the initial payroll.
