Yes, but I think it’s also an important step in order to establish Steven’s overall suitability.
When Anna and I interviewed him we got the impression that he is capable at the level of porter/caretaker but showed little experience or ambition to become more senior/responsible/authoritative/managerial in the way, for example, that John Shervill did the job. This seems to suit those amongst us who are concerned about the appointee becoming “out of control” as both John and Adrian were perceived to become.
Nevertheless, I think we need a happy medium in which our next frontman can grow into the job and eventually operate at a higher level of authority and is able to perform, with Westbourne support, in an independent manner so that board members are not continually bombarded with issues. Hopefully, of course, the issues will become less anyway and it will be important how we, as a board, establish proper management and operational procedures. For example, we could invite him to address the board for 20 minutes each meeting to give us an update on what’s going on and what suggestions he has to improve operations.
We clearly need much more authority from our front desk than we have seen from the current porters and I think these things should be tested. Peter wrote some useful stuff in an email recently, see below.
And we can consider some of the issues we have had lately and check how candidates would deal with them:
Builders at Flat 1
Burglars and operation of CCTV and failure to keep the appropriate footage
Fixing front door
Lady stuck in lift
Alarms going off
Complaints to the Board
Etc
My personal ‘ideal candidate’ would have enough basic system understanding to be able to do a weekly inspection/test of things such as water pumps, emergency lighting, etc and it would be down to the candidate to promote their ability in this field.
I was also wandering if it would be worth mentioning that we would want someone who can be firm but non-confrontational. Someone who can use authority with builders etc, but know that if they don’t cooperate when asked numerous times, doesn’t resort to shouting and arguing but is able to maintain dignity and know that they can escalate a situation by reporting the matter to us and WBM. Again though, I’m not sure that this needs specifying and is maybe something that can be discussed in an interview by a question such as: “Can you give us an example of a situation that was getting out of control but that you were able to resolve peacefully?”
If anyone disagrees with any of the above and/or has other ideas as to how and what we should cover during these interviews, please say so that we can all adopt a consistent approach.

Until now we have made it clear that discussions with Steven have been informal and we told him that we would conduct a proper job interview using the job specification when appropriate to do so.
He has now received the spec and is ready for a formal interview so, yes, I think we should go ahead.

Just a thought, if we are expecting to have a second interview with the strongest candidates once we have interviewed all candidates, is it worth seeing Steven again seeing that we have already met with him twice before (Peter and myself and then Glenn and Anna) and I believe we all had good impressions of him (otherwise we wouldn’t be asking him in again)?

The first interviews should be a filtering process and two people can decide if someone is a reasonable possibility or not. When a candidate is considered to be a strong possibility I agree that it’s useful for as many of us as possible to see him, so I expect that all four of us will talk to the stronger candidates.
I’m sorry if you already sent me an email about Monday and Tuesday but, up till today, we hadn’t planned those days so it didn’t register with me. I still get so many emails that it’s easier to ask again rather than go through earlier emails trying to find something. In your case it is even more difficult as you use two different email addresses.
